What’s New in Our Latest Release

Over the past year, we’ve been diligently refining our brand and simplifying our messaging to better serve you, align with market direction, and support the future of a truly integrated workplace management system.

In coordination with our Vietnam Release, we will be transitioning to the following new connected product names in our market-facing materials:

  • Asset & Maintenance, which will include Facilities Maintenance, Dispatch, Physical Inventory, and Warehouse
    • ARMS, HTM Asset Management, DAM-Q, GxP Asset Management, OT Security, Refrigeration Management, and Stockroom & Inventory Management, are industry-focused products that are built on and enhance the Asset & Maintenance foundation
  • Capital Planning & Projects, which will include Capital Planning and Capital Projects
  • Real Estate & Portfolio, which will include the three distinct Real Estate applications—Real Estate Asset Management, Real Estate Portfolio Management, and Real Estate Transaction Management
  • Space & Workplace, which will include Space, Move, and Reservations

There will be no immediate change to customers’ experience with Nuvolo, including licensing, pricing, entitlements, and more. However, you will notice these new names reflected in documentation, on our website, and other reference materials.

Our upcoming features will align with these new names and are listed below under the corresponding categories.

Asset & Maintenance

Empower your organization to maximize asset value throughout their lifecycle with Nuvolo’s Asset & Maintenance product. Our solution equips technicians, service managers, and facilities executives with the tools they need to streamline and optimize maintenance operations. The latest Vietnam release introduces persona-specific workspaces and specialized refrigeration management tools, alongside significant enhancements to Dispatch, Checklists, and GIS functionalities—building upon the robust features introduced in the Ukraine Release.

Enhanced Technician Workspace 

In Ukraine, we released a dedicated interface for technicians to have everything they need to do their work in one place. This modern, user-friendly workspace creates a more enjoyable and streamlined experience when managing work orders and related tasks. In the Vietnam Release, we’ve added new capabilities to simplify these tasks, including:

  • Work Order Overview Panel: The work order overview panel offers key information to help users quickly complete a work order, simplifying the process and making it faster for end users to get work done
  • Bulk Update Workflows:
    • Work Orders: Technicians can bulk edit work orders without leaving the workflow
    • Bulk Update Checklists & Submission Tools: Technicians can bulk edit checklists on work orders without leaving the workflow
    • Bulk Update Action Log & Follow Up: Technicians can bulk edit work orders without leaving the workflow and have that information queued, completed, and logged 
  • Parts Workflows:
    • Material Requests: Technicians and Managers can access a personalized dashboard within the Technician Workspace, enabling them to request materials easily 
    • Transfer Order: Technicians can request and track the transfer of parts/materials needed to complete work orders
    • Purchase Requisition: Technicians can request the purchase of inventory items/materials not available in their truck or default stockroom

 

Manager Workspace 

We’ve launched a new Manager Workspace that provides managers with a dedicated view and tools to oversee work, track performance, and make informed decisions. Users will be able to see metrics such as:

  • Work Order Types by Volume
  • Work Orders by Priority
  • Top 10 Assets by Work Order Volume
  • Fault-Related Work Orders
  • Work Order SLA Compliance
  • Resolution Code Breakdown
  • Work Order Status Over Time
  • Work Order Status
  • Average Labor Time Spent on WO’s
  • On-time vs Overdue WO’s

Dispatch Enhancements

Eliminate scheduling headaches and improve response times with our upgraded Dispatch functionality. Get a complete view of technician availability, streamline task assignments, and prevent costly errors, empowering your team to deliver faster, more efficient service.

 

Checklists Enhancements

Streamline field operations with our enhanced checklists. Technicians can now easily complete checklist-driven work. Plus, dynamic checklists can be added directly to work orders, ensuring accurate task completion and improved efficiency.

Geographic Visualization Enhancements

Gain real-time insights into asset status with our enhanced GIS map. Color-coded icons provide immediate visibility into asset status (Operational/Under Maintenance/Out of Service) and work order stages (Pending/In Progress/On Hold), enabling technicians to optimize workflows and accelerate response. Additionally, different icons represent asset types, such as park benches versus light poles making it easy to see what type of asset is where.

 

Parts & Inventory Enhancements | Receipts 

We’ve integrated Parts-focused tasks into the Technician Workspace, which streamlines inventory management, simplifies the receiving process, and allows technicians to focus on their main duties. There is now a dedicated Receipts page which details when parts or assets are received from procurement or transfer channels. Stockroom-specific Purchase Requisitions and Transfer Orders are readily accessible, and a user-friendly Target List enables quick receipt into designated Stockrooms, Bins*, or Work Orders. This means less time wrestling with paperwork and more time focused on what matters most: getting the job done.

*Receiving Parts & Assets to a specific Bin is an additional feature that requires a subscription to Stockroom & Inventory Management.

Contract Management Enhancements 

In Vietnam, we’ve streamlined service contract management, with the goal of reducing costs, improving efficiency, and ensuring compliance, particularly in healthcare and life sciences. Customers can now:

  • Track contract details like dates and payment schedules
  • Link assets to contracts
  • Monitor performance metrics
  • Receive notifications for contract renewals and identify potential issues

 

 

New Mobile Application: Technician Experience

Experience the power of Nuvolo’s asset and maintenance workflows in the palm of your hand with the all-new Nuvolo mobile app! Replacing our previous application, this new app delivers a significantly enhanced user experience focused on speed, ease of use, and configurability.

Technicians can manage work orders whenever and wherever they are, conduct rounds, access checklists, and more, so they can focus on keeping operations running smoothly instead of filling out paperwork.

Asset & Maintenance Industry-Focused Products

Nuvolo has purpose-built products and functionality to address the specialized needs of our customers, from healthcare and life sciences to convenience retail and more. In our Vietnam release, we’ve enhanced a number of features and workflows across these products to provide an optimal user experience.

Refrigeration Management 

Effortlessly manage refrigerant compliance with our brand new Refrigeration Management product. Track inventory, monitor usage, log repairs, and generate audit-ready reports—all in one place. Reduce risk, avoid fines, and ensure environmental responsibility.

   

Stockroom & Inventory Management Enhancements 

Achieve accurate parts & inventory management and reduce costs with specialized tools for handling complex parts. The enhancements include:

  • Cross References: Material handlers can add multiple OEM part names to a single part record
  • Fractional Quantity: Users can enable decimal quantities (up to three decimal places) for parts marked as “Fractional Quantity.” For parts not marked, decimal places are not allowed
  • Auto-Replenishment: Users can trigger replenishment from the Stockroom Parts table, generating purchase requisitions or transfer orders when inventory dips below the minimum, to reach the maximum
  • Units of Measure: Users will be able to define stocked units of measure for parts, order parts using a different unit of measure, and receive them into stock at the converted unit of measure
GxP Asset Management Enhancements

GxP Asset Management enables customers to manage GxP and non-GxP assets in the same system. The latest update introduces the GxP Asset Reservation Workspace, which makes reserving assets easier and helps prevent booking conflicts. Users can reserve assets for their specific group, allowing for better planning and availability management. The feature also includes Work Orders Block Reservations, which improves asset use and simplifies approvals by limiting reservations to assets owned by the group. This helps keep asset management organized.

 

In addition, customers will receive an update to the Dynamic Checklists. This update provides a better checklist experience by boosting the efficiency and accuracy of maintenance tasks while staying compliant with GxP guidelines. It includes conditional logic, automatic data input, built-in procedures, and instructional videos. Everything is organized in an Electronic Change Record (ECR) system to ensure clear records and control. 

Capital Planning & Projects

With Capital Planning & Projects, you can eliminate uncertainties and transform guesswork into data-driven decisions while managing the entire capital project lifecycle. From comprehensive planning and forecasting to execution and tracking, all the information you need is housed in one place.

New features and improvements for Capital Planning and Projects will help meet customer requests to enhance the asset capital lifecycle. These changes will support organizations in better controlling budgets, improving project handoff between project and facilities teams, and simplifying the bidding and sourcing process. This release focuses on key improvements for Projects, but exciting enhancements are on the horizon for Capital Planning in our next releases.

Bidding & Sourcing 

A complete sourcing and bidding workflow will provide Procurement Managers with the tools they need to manage the entire procurement cycle before a contract is awarded. This includes creating sourcing requests and invitations to bid, as well as awarding contracts to winning vendors. This system will help make the procurement process faster and reduce long-term operational risks by automating repetitive tasks and improving teamwork.

Key capabilities include:

  • Sourcing Package Creation: Customizable packages defining requirements, terms, and deadlines for RFP, RFI, or RFQ
  • Vendor Selection: Option to add pre-qualified vendors or include new ones to the bidding list
  • Invitations to Bid and RFIs: Automated communication for bid invitations and managing vendor inquiries
  • Bid Form: A standardized platform for vendors to submit responses, ensuring fairness and transparency
  • Bid Selection & Contract Award: Tools for evaluating bids and automatically generating contracts for the selected vendor

Projects/Facilities Handoff

The new Projects/Facilities workflow reduces disruptions, improves asset management, and encourages teamwork between project and facilities teams. This organized process makes sure that all important project information—like documents, maintenance needs, and warranties—gets smoothly transferred to the right people.

Budget Enhancements

The Expense Generation Workflow generates and tracks incurred costs through paid invoices, completed work orders, or miscellaneous purchases. This release introduces a “Pending Amount” field to the Budget Table in the Capital Projects product. This field is designed to monitor expenses that have not yet been invoiced, such as credit card receipts. It provides greater visibility into financial commitments and helps mitigate potential budgetary surprises.

 

Real Estate & Portfolio

Real Estate & Portfolio provides customers a solution to manage the entire lifecycle of both leased and owned properties.

Lease Administration and Accounting: Track leases and owned property details and financials all in one place.

Portfolio Management: Gain visibility into how a portfolio is performing, improve design strategies, and make more informed business decisions based on comprehensive metrics.

Transaction Management: Execute all transactions on one platform to modify and improve the performance throughout the full life cycle of their real estate journey.

In addition to new features and enhancements, we’ve significantly improved the user interface and overall performance of the Portfolio Management component to make it more intuitive to use and support end user efficiency.

Real Estate Process Flow Modification

This change allows real estate teams to create and manage properties and contracts with greater precision. The update allows administrators to create a joint life cycle for properties and associated contracts, so that the property and/or the contract can be modified separately as needed throughout. These modifications also allow administrators to split maintenance activities between owners and tenants, and create work orders that flow through to Asset & Maintenance. Finally, these changes allow for the creation of parcels.

Lease Accounting Enhancements​

The Vietnam Release includes a series of lease accounting enhancements that will help real estate teams and stakeholders better understand the financial health of their portfolio. These enhancements include:

  • The addition of split accounting schedules for short-term and long-term liabilities
  • Historic view and adjustment of values reported in accounting schedules
  • Ability to distinguish between operational and financial leases
  • Improved journal entries calculations and disclosure reports

Portfolio Management User Interface Enhancements​

Portfolio Management will be transitioned into a new interface in the Vietnam Release. This will give customers a more dynamic, easier to use experience. It also will align the user experience in Portfolio Management with that of Lease Administration and Accounting (aka Real Estate Asset Management), which was refactored in the Ukraine release.

Space & Workplace

New features and enhancements to Space & Workplace support productivity for both space admins and employee end users. Space planners will experience greater control and flexibility, as well as a more unified floor plan experience as they perform strategic space planning, create Neighborhoods, and manage Working Groups. Reservation admins and employees will experience faster performance.

Allocation Scenarios

Space planners will now have an opportunity to block out spaces for departments in a floor plan view. This functionality introduces an intermediate step between the conceptual Stacking phase and highly detailed Blocking phase of strategic space planning. Space planners can create and compare multiple scenarios as they iterate and circulate their plans for approval.

Blocking Improvements

Space planners will now have additional metrics, better bulk assignment functionality, and more streamlined workflows as the perform Blocking. The scope of the improvements to Blocking includes:

  • New ability to start a Blocking scenario using existing (production) space allocations, preventing the user from having to build their scenarios from scratch each time
  • New ability to choose a starting point for their Blocking scenarios and projects, letting the user start from scratch if that’s the best option for their workflow
  • Ability to define the scope for their Blocking Projects, allowing the user to start from an existing Space Demand Forecast
  • Ability to define target sharing ratios globally and/or by Neighborhood, then track against those targets as they performing Blocking
  • Ability to edit existing Working Groups and add new ones within Blocking scenarios using improved sorting and filtering tools
  • Ability to view and compare Blocking scenario metrics against current (production) allocations and future (defined in Stacking) allocations
  • Ability to finalize and Blocking scenario and commit it to production

Together with the introduction of Allocation Scenarios, these improvements give space planners greater precision and accuracy as they move through the highly iterative process of allocating space–first as a “rough draft” and subsequently as a highly-detailed Block plan.

Neighborhood Improvements

The improvements to Neighborhoods being introduced in the Vietnam Release enhance sharing ratio capabilities and improve the user interface of floor plan applications, improving how Neighborhoods render. This makes planning, visualizing, and tracking neighborhoods easier and more accurate. The Neighborhoods Improvements include:

  • Roll up calculation updates that allow space planners to distinguish workspace, flex space, and fixed assignable space and report on those areas at the floor, site, campus, and region levels
  • The ability to create a Neighborhood of flex seats that also entitles certain users to access and reserve individual seats within it
  • The ability to make color-by and label settings apply to Neighborhoods to improve space visualization
  • the ability to set and track against sharing ratios at the Neighborhood level allowing organizations to achieve the ideal employee to seat ratio to maximize space utilization
Easily add locations to a Neighborhood while maintaining the flexibility to specify anchor locations.

 

Check or set neighborhood metrics directly within the Neighborhood editor.

Working Groups Improvements

The Vietnam Release includes improvements to Working Group design and assignment workflows within Workspace Manager. Space Planners will have more precise options as they work to accommodate individuals and teams that have specific space requirements or who are part of complex organizational structures. The Working Groups improvements include:

  • More powerful filter and search capabilities within Workspace Manager for more precise space assignments
  • Added flexibility for designing and assigning Working Groups, including:
    • The ability to assign individuals within a Working Group to specific spaces (like a specific desk within their Neighborhood, or to another Neighborhood)
    • A more intuitive search for finding and adding individuals and teams to Working Groups
    • The ability to assign individuals to multiple Working Groups

These updates also roll over into Move Request Forms and the move coordination workflow for alignment throughout the full Space & Workplace product.

 

Reservations Scalability

The Vietnam release includes a set of improvements to the overall performance of Reservations that makes admin and reservation owner workflows faster, easier, and more scalable particularly for organizations with large space portfolios. For example, reservable space options in card view and scheduler view will now be paginated, so only a select number of locations per page for a selected site will load at a time, producing much faster load times.

The addition of pagination for scheduler and card view is just one example of the scalability improvements being introduced in this release. For more information on other improvements, please see the Vietnam Release Notes.

 

AutoCAD Audit Improvements

The Vietnam Release includes improvements to the AutoCAD audit process that make it even easier for space managers to correct issues before they sync to Nuvolo Space. Space planners and CAD administrators will be able to find and fix issues with their files before importing to Nuvolo, reducing the iterations required to correctly clean and import data. New customers implementing Space & Workplace for the first time as well as existing customers onboarding new sites will benefit from optimal floor plan performance in the product from day one.
